MAKING A RESERVATION: Once you confirm you want to proceed in placing an order, we will require Payment of a NON REFUNDABLE deposit (e-transfer, cash, cheque, or credit card) and the signed rental agreement/contract returned to us fully reserve an order. Full payment is due no later than two (2) days prior to delivery. No orders will be scheduled for delivery until full payment is received. If payment is made by cheque, the renter agrees to pay a bank service charge of $ 45.00 or 10% of order total, whichever is greater, if the cheque is returned by the bank. If payment is made by credit card, it could be subject to a surcharge. If a request is made to make a credit card payment verbally or by email a Credit Card Authorization Form is required to be completed and returned prior to the payment being processed.
CANCELLATION TERMS: If cancellation notice is given prior to the scheduled rental start date, the NON-REFUNDABLE deposit will be retained by Advanced Fabrics. Due to the unique nature of our business, we are unable to make exceptions to this policy, including, but not limited to, the cancellation of your event for any reason whatsoever.
CHANGES TO AN ORDER: Changes to your order are permitted up to 30 days prior to the event date. Changes to the quantity of items will only be accepted for increased amounts as the customer will be charged for all items on the initial agreed upon order. Advanced Fabrics will make every effort within reason to accommodate the customer.
SITE PREPARATION: The customer is to ensure the event site is ready before our crew arrives. This includes but is not limited to, moving all patio/lawn furniture, BBQ equipment, vehicles, and having lawns mowed, etc. Advanced Fabrics should be able to drive up to the site within 20 feet for offloading or additional charges could be incurred. The customer is to inform Advanced Fabrics, well in advance, of any ground/area conditions which could affect the installation of a tent and/or placement of stakes used for installation. All tent installations including poles and stakes are to be set up on solid ground and in areas sheltered from high winds (such as open areas on a shoreline). Additional charges will be incurred if the site is subject to rock, ledge, shale, concrete, or anything which requires additional equipment for the installation. If a site visit is required by Advanced Fabrics to determine whether installation is possible or if the area is unsuitable, if found unsuitable the customer will be given the opportunity to select an alternative site and/or Advanced Fabrics could provide alternative solutions, additional costs could apply. Advanced Fabrics is responsible for setting up delivered tents and dance floors (on level ground). The customer is responsible for setting up all tables, chairs, linens, etc. unless it has been agreed prior to delivery that Advanced Fabrics would provide this service. The customer is responsible for providing electricity to the site when required to run lights, etc.
DAMAGE or LOSS of EQUIPMENT: Responsibility for all equipment remains with the customer from the time of delivery to the time of pickup. Please be sure all equipment is secured when not in use and protected from the elements. The customer is responsible, upon delivery/pickup, to count all items. The customer shall be responsible to Advanced Fabrics for all damages, including by not limited to disappearance, soiling, or staining of all or any part of the equipment. In the event of damage to the equipment through whatever cause, the customer agrees to contact Advanced Fabrics within 12 hours of the occurrence. The customer will be billed for repairs or replacement, including parts and accessories. Damage also includes marking or labeling of rental equipment.
UNDERGROUND FACILITIES (line locate): The customer is responsible for providing Advanced Fabrics with an aerial view of the installation site for the event a minimum of two (2) weeks prior to the installation date. This information is required for Advanced Fabrics to process a ‘locate request’ from utility companies for the area. A ‘locate’ is a request to have utility companies confirm any underground facilities on the property where the installation is scheduled. Without this information Advanced Fabrics is not permitted or able to install the tent.
CLEANUP/PREPARATION FOR PICKUP: All decorations, balloons, floral arrangements, trash of any kind need to be removed from the tent before scheduled pickup time. All chairs and tables must be stacked and tied down in the same manner and place where they were delivered to avoid additional charges. The customer is responsible to rinse all dishes, glassware, cutlery, and cooking equipment of all debris/food, repack, and remove from the tent prior to scheduled pickup to avoid additional charges.
EQUIPMENT FAILURE:
It is understood and agreed that the customer understands how to operate equipment and is responsible for notifying Advanced Fabrics during the rental period of any equipment malfunction or related operational
problems. An Advanced Fabrics employee can be reached at 506-459-5858 during the week Monday to Friday from 8am to 5pm & from May to October on Saturday from 9am to 12pm (noon) or after hours for emergencies during an event in progress call 506-260-5811 or 506-440-8131.
LEGAL COSTS: In the event it is necessary for Advanced Fabrics to employ a lawyer to recover the equipment, collect the rentals or any damages properly payable by the customer, the customer shall reimburse Advanced Fabrics for all legal costs.
INDEMNIFICATION and DEFENCE: The customer agree that if legal proceedings are brought against Advanced Fabrics for compensation for personal injuries or property damage arising out of the event, the customer will indemnify Advanced Fabrics and its employees against any judgements which may be rendered against them except for judgements on claims which arise out of the negligence, gross negligence or willful acts or omissions of Advanced Fabrics, its agents, servants or employees.
PERMITS: The customer agrees to obtain any necessary permits (municipal or otherwise) Advanced Fabrics can obtain Temporary Structure Permits on behalf of the customer at an additional charge. The customer is responsible for providing parking permits, or parking space for delivery of rented items. The customer agrees to pay any parking ticket/fine we receive while delivering your order.
LATENESS: In the event that the customer does not return the items and equipment on the return date, a late fee equivalent to the daily rates will be charged.
INSURANCE: The customer should notify their homeowner’s insurance company to advise them of the event taking place on their property.
NOTE: Once you place an order with Advanced Fabrics you will receive a copy of your invoice and a rental agreement/contract. It is important for you to review all information provided.
